When does custom software beat standard software?
As soon as your process no longer fits standard tools: when ten scattered Excel files carry a core process, systems are maintained twice, or your team bends tools with workarounds. With AI-assisted development, custom software has become affordable and plannable - projects that were out of the question now pay off.
- Internal tools for specific processes: quoting, scheduling, reporting
- Integrations connecting existing systems (ERP ↔ shop ↔ accounting), ending double entry
- Customer portals and self-service solutions that relieve support
- AI features inside your own process - from document recognition to workflow automation
How does a software project run at ArkeonTech?
Prototype first: after a free requirements analysis we build a fast, transparent prototype - you see and test the result before committing the main budget. Implementation then follows in short iterations at a fixed price, with integration into your systems and a handover including full documentation.
| Phase | What happens | Outcome |
|---|---|---|
| 1. Analysis (free) | Understand the process, refine requirements | Concrete recommendation + effort range |
| 2. Prototype | Testable core version, AI-assisted in days | You see the solution before you invest |
| 3. Implementation | Iterative development at a fixed price | Production software, integrated with your systems |
| 4. Operation | Maintenance, monitoring, evolution | Documented, transferable, GDPR-compliant |
Why AI-assisted development - and where are its limits?
AI tools largely automate routine code and make prototypes possible in days - budgets become significantly lower and more predictable. What still decides success is solid engineering: architecture, data security, maintainability and integration. ArkeonTech combines AI speed with a business-informatics background and years of ERP consulting practice.
Is the software GDPR-compliant, and who owns the result?
Development and hosting run GDPR-compliant on EU servers with documented data flows. The software is built to be cleanly documented and transferable - you stay independent and can operate, extend or hand it over without being locked in.
Which companies is custom software from ArkeonTech suitable for?
Companies with 5 to 250 employees where a core process runs past the standard software: scattered Excel files, the same data maintained in two systems, tools kept alive by workarounds. Typical cases are manufacturing and technical wholesale with ERP integration, financial service providers with onboarding obligations, and service companies that need a customer portal. At the lower end what matters is not size but how settled the process is: a workflow that will look different in a year does not yet deserve its own software. In our financial-advisory case study, the onboarding rate rose by 45 percent.
- Company size: 5 to 250 employees
- Scope: internal tools, system integrations, customer portals
- Prerequisite: a process that will still run this way in two years
- Documented sectors: financial advice, industry, retail
What is ArkeonTech not the right development partner for?
For work that would occupy a fixed team for months. Projects on the scale of a product with several parallel development tracks we turn down, because we could not deliver them at the quality we stand for. Nor do we take on maintenance of undocumented, untested legacy systems from other providers - the effort cannot be estimated there, and a fixed price would be dishonest. Certification-bound applications such as medical devices under MDR or safety-critical control systems are outside our field. And if your process fits a standard product cleanly, we say so in the initial call instead of selling you a custom build.
Do you build custom software for companies in your region?
Yes, and the requirements workshop then happens at your site. Custom software rarely fails in the coding and usually fails because the requirement was misunderstood. A morning with the people who will use it replaces half a specification document. ArkeonTech is based in Aalen in Baden-Württemberg, with roots going back to studies at DHBW Heidenheim and Aalen University. Development, review cycles and handover run remotely afterwards, for regional and nationwide clients alike.
Who is your point of contact?
Michael Kaiser, owner of ArkeonTech and the developer of your project in one person: business informatics (DHBW Heidenheim), B.Sc. Business Analytics (Aalen University), several years as an ERP consultant for mid-sized clients in mechanical engineering, retail and healthcare. He runs the requirements workshop, writes the code and hands over the documentation. You stay independent throughout: the complete source code is yours, and the documentation is written so another provider can pick it up at any time.

Tailored onboarding solution: collects client data digitally, builds MiFID II risk profiles and books initial meetings - onboarding in under 5 minutes instead of paper forms.
